For a company, forwarding e-invoices is more convenient and favourable than printing and posting paper invoices. To pay the invoice, the payers can directly, from the e-invoice, initiate a pre-populated payment order or enter a standing order agreement to pay regular invoices for services related to the e-invoice.

E-invoice is an Estonian e-invoice standard-compliant document in the XML-format that is both a traditional and machine-readable invoice at the same time. Based on the e-invoice, the bank compiles a pre-populated payment order that the payer can review and then confirm for payment. Based on the e-invoice, the payer can also enter into a standing order agreement with the bank: in this case the bank from then on pays the e-invoices automatically. The e-invoice with automated standing order also works if the company’s client does not use the Internet bank. In this case, the company sends the bank an e-invoice that is paid for with a standing order and sends the payee information on the invoice via some other agreed means: for example, by e-mail or post.

To issue e-invoices, the company’s financial software needs to be able to issue e-invoice files compliant with the standard. Standard-compliant e-invoices are accepted by all banks. This way, the company can conveniently send the payers e-invoices to different banks.

In order to issue and forward e-invoices the company can also use the services of a special service provider, or operator. In this case, the company addresses an operator to forward e-invoices to the bank, who then informs the bank about a new company forwarding e-invoices. In this case, all e-invoices reach the bank via an operator.

In order to forward e-invoices to clients of different banks, the company needs to sign an e-invoice forwarding agreement with relevant banks and from then on send the e-invoice to the relevant bank according to the payer’s e-invoice address, or use an operator service for forwarding the e-invoices.

Preparation for the forwarding of e-invoices

  • Find out whether your company’s financial software permits the compiling of e-invoices compliant with the Estonian e-invoice standard or whether it is reasonable to develop this.
  • Consider whether you wish to use the Bank interface or a special e-invoice forwarding program as your e-invoice forwarding channel.
  • To conclude an e-invoice forwarding agreement, contact your client executive or go to the nearest SEB branch.

E-invoices forwarding process

  • Forward e-invoices to the bank through the channel and deadline set in the agreement. The payers can see the invoice in the Internet bank and pay the invoice from a pre-populated payment order or enter a standing order agreement for an automated payment.
  • Payers who have no access to an electronic channel need to receive the invoice in some other agreed way besides the e-invoice you send to the bank. If the payer do not have a service agreement you need to forward e-invoice to service agreement owner in other agreed way.

E-invoices forwarding program

  • You can forward and manage e-invoices in a special online environment.
  • In order to use the program , your company needs to have a business client Internet Bank agreement and the e-invoice forwarding agreement should include the use of e-invoice forwarding program.
  • To access the program, your company’s representative needs to submit their personal Internet Bank password and codes.
  • With this program, you can forward e-invoices to the bank, see a statement of forwarded e-invoices, and export and import data. XML

Should I enter a periodical or a period-free e-invoice forwarding agreement?
When making the decision, the frequency of issuing invoices should be considered. If the period for which you issue invoices is the same as a calendar month, you are best off with a periodical e-invoice forwarding agreement. In this case, the payers can choose a payment day from your proposed dates, on which they wish to pay for e-invoices with a standing order agreement. If the period for which you issue an invoice fluctuates or you need to issue a payer more than one invoice a month, the period-free e-invoice forwarding agreement suits you. In this case, the payers can choose whether they pay the e-invoice with the standing order agreement after the next settlement date or on the invoice’s payment deadline.

What should I do if I want to change the current periodical e-invoice forwarding agreement to a period-free agreement?
If you wish to change a periodical e-invoice forwarding agreement into a period-free agreement, you can do so after the transfer period (from 1 February 2014). To do so, you need to submit a free-form application to your client executive or through the Internet Bank, on which you detail the desired transition date. Also, inform your clients about the change because their e-invoice standing payment order agreement payment day changes.

Which channel should I use to forward e-invoices to the bank?
The bank interface suits you if you have many clients to be billed; in addition, the bank interface has many other additional options. If you have fewer clients or your financial software lacks the option to compile standard-compliant e-invoices, the business client Internet Bank e-invoice forwarding program will suit you.

Can I offer my clients a possibility to enter an e-invoice with automated standing order agreement together with the service agreement?
Such a possibility exists, if the e-invoice forwarding agreement states so.

What should I do if I wish to issue e-invoices also to clients of other Estonian banks?
For this, you should enter into e-invoice forwarding agreements with banks to whose payers you wish to issue e-invoices or use operator services which send e-invoices to different banks for you.
